Establishing a brand voice that resonates

In an overcrowded digital landscape, your brand voice is the unique way you present your business to your target audience across all your marketing channels. A clearly defined brand voice builds trust, recognition and connections within your community. But how do you find the right voice for your brand or business? And, if you already have one, how can you maintain it consistently across all platforms?

What is a brand voice?

Have you ever noticed how your favourite brands have a recognisable way of communicating? This is because they have a clear and distinct brand voice that they use consistently across all marketing channels.

A brand voice is more than your words to describe your business. It’s the personality behind them and the style that shines through in your online and in-person presence.

It’s not just what you say but how you say it, the unique way you communicate on behalf of your brand.

Your brand voice might be formal, casual, or somewhere in between. It’s the place where your clients or customers meet you. It’s how your brand sounds and feels to your audience. Whether witty and playful or professional and authoritative, your brand voice influences how people perceive your business.

Where does a brand voice appear?

Everywhere. And I mean everywhere. Your brand voice isn’t limited to social media captions or website copy. It shows up in your:

 Email newsletters and campaigns
Customer service interactions (including chatbots)
Packaging, product descriptions, and even user manuals
Internal communication — yes, how you speak to your team matters too
Consistency is key. When your audience experiences the same personality and style across all touchpoints, it builds familiarity and trust.

What is Tone of Voice?

Think of your brand voice as a whole ‘speaking’ voice – what you say and how you say it. Tone of voice comes into your brand voice, but it’s more how you’d describe how your voice sounds and feels.
If brand voice is your personality, then tone of voice is your mood.

There are four dimensions of TOV:

You don’t have to be one or the other, all or nothing; depending on the context, your tone could be somewhere in the middle. If humour or levity is one of your brand’s core values, you might need to adjust your tone when handling customer complaints. Tone is about changing how you sound without losing your core personality, regardless of the situation.

What is brand personality?

Consider your brand as a character with a relatable and memorable personality. Are you the witty best friend, the wise mentor, or the rebellious challenger?
Leaning into brand archetypes (like Carl Jung’s The Hero, The Caregiver, or The Rebel, for example) can help shape your voice and messaging and provide your audience with ‘someone’ to connect to (even if your business is product based).

What are differentiators?

Where does style come into it?

Your brand voice can be one of your biggest differentiators. It sets you apart from competitors who may offer similar products or services. Knowing your differentiators helps you stand out in a sea of similarity.

Ask yourself:
Q: What makes your brand unique?
Q: How do you want customers to feel when they interact with you?
Q: What do you want them to remember about your brand?

When you’re clear on these answers, you can craft a brand voice that’s uniquely yours.

A writer may develop a particular style. In magazines, we adhere to a house style, a specific set of rules and standards that ensures consistency in written form. Your writing style can contribute to a recognisable brand voice, from sentence structure to vocabulary and punctuation. Do you write in the first person or third person? How do you write your numbers — as words or numerals? Take the guesswork out. Developing a style guide can help your team maintain this consistency, no matter who creates the content.

If you’re unsure of your brand voice, you could ask someone who knows you and your brand what words they would associate with your work and the content you create to see if they resonate with you.
